SAP Cost Center Expense Reporting

Cost Center Team Leaders have access to run the following reports: ? ZHF_CCEXPENSE – Cost Centers: Actual/Plan/PY/Var ? S_ALR_87013611 – Cost Centers: Actual/Plan/Variance ? S_ALR_87013612 – Range: Cost Centers ? S_ALR_87013613 – Range: Cost Elements

? S_ALR_87013614 – Cost Centers: Current Periodic/Cumulative

? S_ALR_87013633 – Cost Centers: Actual/Plan/Variance/Previous Year ? S_ALR_87013640 – Cost Centers: Period Breakdown Actual/Plan

This example will go through the steps to run S_ALR_87013611. At the end of this example are print screens of what each of the above reports look like.

Running the Report

From the Main Menu, go to transaction code S_ALR_87013611

Type S_ALR_87013611 in the address field, or follow the menu path and double click.

The following screen will appear:

Controlling Area = 1000 Fiscal Year, From Period & To Period = populate based on requirements Plan Version = 0 Cost Center Group, Or Values = populate based on requirements Cost Element Group = FLASHCOST

Update the Selection Values and Selection Groups as needed.

? Selection Values - Controlling Area will always be 1000 and Plan Version will always be 0.

? Selection Groups – Cost Element Group will always be FLASHCOST. Use the Cost Center Group for your area. If you only want to see one cost center, enter the one cost center number.

Note: If you are running report ZHF_CCEXPENSE, Controlling Area and Plan Version fields will not appear on the screen. Configuration for these reports has been set to always use Controlling Area 1000 and Plan Version 0. Everything else on this screen is the same as the other reports.

In our example, we are going to look at January to May, 2005 for all cost centers.

Update selection criteria. Click Execute

The following screen will appear:

Click on the Right Arrow to view cost center list

On the left side of the screen, click on the arrow to view all cost centers included in report. To view only one of the cost centers listed, double click on it. The report on the right will automatically update.

Note: If you are running report ZHF_CCEXPENSE, the values will be in local currency. If you run this for HFE cost centers, the report will be in EUR. If you run it for HFS, the report will be in RMB. Do not run for multiple companies at one time, as the report will not run correctly (cannot add different currencies together). Only run for one company at a time.

The view the detail to of an account, double click anywhere in the row of the account you wish to view.

To drill down on the Telephone Expense, click anywhere on that row. When the Select Report box appears, select what you need detail on (i.e. Cost Centers: Actual Line Items).
